Information we collect

When you apply, we collect the information you submit through our application, including:

• Your name and email address;
• Your school and expected graduation;
• Your eligibility to work in Canada and your availability for the term;
• Your city / time zone, if provided;
• Your résumé, a link to work you’ve built, and your LinkedIn profile, if provided;
• Your written answers and a link to a video you record and host on a third-party platform (for example, YouTube); and
• Any additional information you choose to share with us.

We may also collect limited technical information (such as basic, aggregated analytics about site usage) to operate and improve the site. We do not require you to create an account.

How we use it

We use your information solely to evaluate your application, administer the selection process, communicate with you about the internship, and operate and improve our program and site. We do not sell your personal information, and we do not use it for unrelated marketing.

Use of AI in screening

We use artificial intelligence tools to help review, screen, and evaluate the applications submitted through this site, for example to organize, summarize, and compare responses as part of our selection process. We limit these tools to the application information you provide and use them only to assess candidates for the internship. Consent

By submitting an application, you consent to our collection, use, and disclosure of your information as described here. You may withdraw your consent at any time by contacting us, subject to legal and contractual limits; withdrawing may mean we can no longer consider your application.

How we store and share it

Your application is stored in Patry’s Microsoft 365 environment: résumés in a restricted SharePoint document library and your other details in a restricted SharePoint list, accessible only to the Patry staff involved in reviewing applications. We share your information only with those who need it to run the internship:

• Patry staff and reviewers involved in evaluating applications and placements;
• Service providers that operate our systems on our behalf, namely Microsoft (Microsoft 365, SharePoint, and Azure, which host and store your application) and Vercel (which hosts this website), under agreements that require them to protect your information and use it only to provide their services; and
• Authorities or other third parties where required by law, or to establish, exercise, or defend our legal rights.

Your application video is hosted on the third-party platform you choose (for example, YouTube). That platform’s own privacy policy governs how it handles your video; we store only the link you provide.

How long we keep it

We keep application information only as long as necessary for the purposes above. Unless you are offered and accept a place, or you ask us to keep your materials on file, we delete or anonymize applicant information within 12 months after the cohort’s selection process concludes. You can ask us to delete your information sooner.

How we protect it

We use reasonable administrative, technical, and physical safeguards to protect your information, including encryption in transit and at rest, access limited to authorized reviewers, and private storage for uploaded files. No method of transmission or storage is completely secure, but we work to protect your information against unauthorized access, loss, or misuse.

Your rights

Under PIPEDA you have the right to access the personal information we hold about you, ask us to correct it if it is inaccurate, and withdraw your consent. To make a request, email us at the address below and we will respond within a reasonable time.

Where your information is stored

We aim to store applicant information in Canada. Some of our service providers (such as Microsoft and Vercel) may process or store data in the United States or other countries, where it may be subject to the laws of those jurisdictions. We take steps to ensure your information remains protected wherever it is processed.

Age

The internship is intended for post-secondary students and graduates. The site is not directed to children, and we do not knowingly collect information from anyone under 16.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the “last updated” date above. Material changes will be reflected here before they take effect.
